Skin Safe’s path to automated Compliance

Reduced manual work, 80% faster workflows

Cut down on manual tracking and repetitive administrative tasks.

Reliable compliance

Real-time regulatory updates and complete documentation accuracy. The 4-eyes principle is very valuable.

Scalable capacity

Manage larger client portfolios without adding resources.
Skin Safe is a regulatory consultancy from Estonia, founded by Triin Truu in 2020. Triin is a certified EU Cosmetic Safety Assessor with a background in Biomedical Sciences and cosmetic chemistry. The consultancy helps brands and manufacturers ensure product safety, regulatory compliance, and reliable documentation across international markets.

Demanding regulatory environment

As the client base expanded, the business faced recurring challenges. Regulatory updates had to be tracked from multiple sources, and incomplete toxicology data – particularly for botanicals, made safety assessments more complex. Scalability was nearly impossible, since so much time was spent researching and verifying toxicology data. Writing the toxicological reviews, finding data and rewriting everything in a coherent and understandable summary was the most time-consuming of all processes.

Building capacity allowing for more creativity and focus

Triin, the owner of Skin Safe, has a passion for formulation work and cosmetics branding. She wanted to dedicate more of her time to high-level advisory activities and supporting clients in developing innovative products. However, the growing volume of compliance tasks often pulled her away from this focus. Preparing PIFs, CPSRs, and safety assessments required hours of manual work, leaving little room for the creative and strategic side of her consultancy.

Surprisingly, Triin discovered that many of the peer professionals to whom she reached out for recommendations of software were still performing all compliance and safety tasks manually.

Moving to automation with structure, data and peer support

Skin Safe started implementing PRIMS in early 2025, with support from Kelly Goris. She immediately noticed how PRIMS organizes everything logically – grouping raw material documents, formula-related data, and product information, all linked – making uploads and analysis structured and effortless.

The platform’s ability to address toxicological data gaps was critical for the business. Triin could now confidently carry out Margin of Safety assessment, even for complex botanical formulations. She also appreciated PRIMS’s flexibility, which allows her to override or add custom data where needed, keeping reports personalized while maintaining structure. For any missing toxicology data, Triin continued to research manually and add information into templates reviewed by Kelly – an approach she calls “a genius way of adding up all the new toxicology views under a four-eyes principle.” This collaboration greatly increased confidence in the accuracy of assessments.

Another important aspect was the visual checklist on PRIMS dashboard, how the sections are automatically categorized, from raw materials to formula-related information, making data uploads simple and intuitive.

“Previously, compiling one complete safety assessment could take up to five days; now, with PRIMS, the same work is completed in about a single day – an improvement of roughly 80% faster turnaround.”

Significant impact on daily work

Automation fundamentally changed the way the business operates. Regulatory risks are flagged early, safety thresholds are checked against exposure scenarios automatically, and label content is generated instantly. Reports that previously took hours can now be prepared in minutes. “No second guessing and less room for human error”, as Triin puts it.

With these capabilities in place, Skin Safe can deliver compliance documentation ahead of schedule. The monitoring system ensures that clients receive up-to-date current and future compliance reports proactively, rather than waiting until deadlines approach. This shift not only improves efficiency, but also strengthens client confidence, as clients see compliance being managed continuously and proactively.

The value of a yearly compliance fee can be easily explained to clients – because they understand that real-time monitoring prevents costly non-compliance at their end. This is also considered as a good differentiator compared to consultancies that work based on one-off assignments: “PRIMS is unique, because it is clear to see this is what the situation is now, the exact status of each product and each portfolio in general, plus how it is going to be in the future. I think I haven’t seen any software that offers that.”

In Triin’s words

“Even though I work alone, I feel that I’m not alone. Having PRIMS and the support from the team and especially from Kelly Goris, means there is always someone to discuss with. It gives me peace of mind and allows me to focus on what I love most – helping brands grow.”

Results

Since adopting automation two years ago, Skin Safe has doubled its business volumes without increasing headcount: “Even complex CPSR documents with all uploads now take about an hour once all client data are ready, compared to several days of manual editing before.”

The ability to manage compliance more efficiently has allowed the consultancy to scale its client base while maintaining reliability. If clients need Responsible Person services in additional territories outside the EU, Skin Safe can be supported by The Regulatory Company. This allows for keeping services under Skin Safe’s contract without the risk of losing business by referring the clients to other consultancies.

Triin is proud to have recently added 8 new clients to her portfolio, which she is now ready to add in PRIMS. The business can easily accept a new client with over 20+ brands, and process multiple product portfolios simultaneously, without the need for additional hires.

For Triin, the change has also been personal. With compliance tasks streamlined, she has regained time for formulation work and product development support – areas that originally inspired her to build Skin Safe. This balance between regulatory precision and creative consultancy has strengthened both the business and the services offered to clients.

Looking ahead

With automated compliance processes in place, Skin Safe is well positioned to support a growing range of clients across diverse product categories and international markets.

Triin is particularly looking forward to the new client-upload portal, which will allow customers to manage documentation themselves, further reducing administrative work and enabling her to focus on advisory tasks.

Conclusion

For Skin Safe, PRIMS turned compliance from a manual burden into a streamlined, strategic process, one that supports smarter decision-making, faster delivery, and proactive risk management. The platform’s speed, accuracy, and structure enables the consultancy to scale and focus on innovation while maintaining high regulatory standards across a growing client base.
